Please Note: La Esperanza Mental Health Is Not A Crisis Intervention Center And Our Services Are Not To Be Used In Emergencies. If You Are Experiencing A Medical Or Mental Health Emergency (E.g. Imminent Harm To Self Or Others), Please Call Your Local Emergency Services Or Go To The Nearest Hospital Emergency Department.
Appointments & Cancellations
- Appointments Must Be Scheduled In Advance Through Our Online Booking Portal Or By Contacting Our Administration Team.
- We Require A 24-Hour Notice To Cancel Or Reschedule An Appointment. Cancellations Made Less Than 24 Hours Will Incur A Late Fee (Full Session Fee).
- No-Shows Will Be Charged The Full Fee. Payments Will Need To Be Made At The Time Of Booking The Next Session.
LATE AND NO SHOW POLICY:
- Sessions Are Scheduled For A Specific Time And Will End At The Scheduled Time, Regardless Of The Time You Arrive.
- Cancellations Made With Less Than 24-Hour Notice Will Be Subject To The Full Fee For The Session. If The Fee Was Paid In Advance, The Payment Will Be Retained For The Missed Session.
- For Late Arrivals, The Session Will Still End At The Scheduled Time And Will Still Be Billed For The Full Session. If You Are More Than 15 Minutes Late Without Prior Notification, The Appointment Will Be Treated As A No-Show, And The Cancellation Policy Will Apply.
- All Outstanding Payments Will Need To Be Cleared To Book Future Sessions.
- An Invoice Will Be Made Against The Charges Sent To You. You Have To Pre-pay The Next Session.
Confidentiality & Privacy
All Information Shared During Your Sessions Is Strictly Confidential And Protected Under Relevant Privacy Laws E.g. Digital Healthcare Act 2023 And The Mental Healthcare Act, 2017. Your Assigned Therapist Will Maintain The Confidentiality Of Your Sessions With The Following Exceptions:
- There Is An Immediate Danger To Self Or Others.
- We Are Ordered By A Court Of Law To Disclose Information.
- There Is Suspicion Of Child Or Elder Abuse That Needs To Be Reported To Authorities.
- You Provide Written Consent To Release Information To A Third Party.
Record And Data Protection: We Take Reasonably Necessary Security Measures E.g. End-to-end Encryption, HIPAA Compliant Software, To Ensure The Confidentiality Of Digital Records Are Respected And Protected According To Ethical Standards.
Please Note We Utilize An Online Platform For Record-Keeping Which Secures Strict Privacy Protocols But The Clinic Can Be Subpoenaed For Legal Or Clinical Reasons. Clients Need To Provide Documented Consent Or Court Order To Legally Waive The Confidentiality Rule For Any Clinical Documentation Requests.
Session Length & Structure
- Standard Counseling Sessions Generally Last 50 Minutes For Individuals.
- Extended Sessions Of 90 Minutes Are Generally Required For Couples Or Families. You Can Request A 90-Minute Session With Your Therapist.
- Psychiatric Consultations Vary In Duration (20 Minutes To 50 Minutes) Depending On The Assessment And Or Medication Check-In Follow Ups.
- Appointments Will Begin And End Promptly As Scheduled To Respect Your Time As Well As Other Scheduled Patients' Time.
Minor Clients
For Clients Under 18 Years Of Age, The Following Applies:
- A Parent Or Legal Guardian Must Provide Written Consent And Sign The Consent Form On The Child's Behalf.
- Parents/Guardians Have Legal Right To Access Treatment Records And Or Receive General Updates On The Child's Progress, While Therapists Respect The Privacy Limits As Well In Therapy Sessions To Build Trust.
- Therapists Will Inform Parents Or Guardians About Significant Safety Concerns Identified Or Addressed In Session.

However, Therapy May Involve Discussing Uncomfortable Topics Or Feelings That Can Cause Unpleasant Sensations, Sometimes Before They Start To Get Better, We Encourage Open Communication With The Therapist If You Experience Discomfort Or Have Concerns About The Therapeutic Process. Progress In Therapy Does Require Active Client Participation Both During And Between Sessions. We Can Never Guarantee The Specific Outcomes Or Pace Of Your Progress.
Professional Boundaries & Interaction Beyond Sessions
Our Relationship Is Strictly Professional And Clinical In Nature To Ensure The Best Therapeutic Outcomes And Quality Of Care. Therefore, The Following Boundaries Apply:
- Therapist Cannot Engage In Social, Personal, Or Business Relationships Outside The Context Of Therapy.
- Gifts, Bartering, Or Exchange Of Services Or Goods Cannot Be Facilitated.
- Communication Between Sessions (E.g. Emails, Calls, Messages) Should Be Limited To Scheduling Or Administrative Purposes Only.
- In-person Or Remote Therapy Requires Mutual Respect And Collaborative Effort In Both Cases, Inappropriate Interactions Lead To Discontinuation Of Care.
Consent To Transfer
By Accepting To These Terms, You Acknowledge The Following:
- Should We Need To Make Referrals For Services Outside The Scope Of Our Expertise, We Cannot Control Who They Contact E.g. Another Professional Referral Out Of Practice.
- La Esperanza Mental Health Operates Under A Collaborative Team Model (Supervisory Oversight, Case Conferences, Trainee Programs, Supervision Models) Regarding Treatment Progress.
- When Appropriate And Or Necessary, Client Cases (Identities Are Kept Anonymous/Pseudonyms) Are Shared Between Staff Or Case Presentations And Clinical Supervision To Offer Highest Care Options Or Training For Staff. By Requesting Care With Us You Sign Up With This Model.
- La Esperanza Mental Health Holds No Liability For External Information Exchanges When Case Exceeds Scope.
Harm To Oneself
La Esperanza Mental Health And Its Therapists Do Not Take Responsibility Should The Client Cause Harm To Themselves. If You Have A History Of Self-Harm, Please Discuss That During Or Before The Intake Session. We Will Co-Create A Safety Plan E.g. Establishing External Emergency Contacts, Crisis Plan, Etc. If There Is Imminent Threat In Person E.g. Active Urges Over Therapy Process Without Any Resourcing, We Refer Out The Client Immediately.
Participation In Legal Proceedings
La Esperanza Mental Health And Its Professionals Will Not Participate In Or Initiate Court Or Forensic Evaluations, Custody Disputes, Disability Assessments, Or Submit Recommendations Unless Obligated By A Court Order. Our Primary Purpose Is Therapy, Not Serving To Support Or Advocate Legal Matters. The Client Agrees To Reimburse Any Legal Cost Incurred To The Organization E.g. Court Attendance, Case Compilation.
Right To Discontinue Services
La Esperanza Mental Health Reserves The Right To Discontinue Therapy Services At Any Time If There Is Inappropriate Conduct With The Staff, Consistent Missed Sessions, The Therapist Or Staff Has A Conflict Of Interest E.g. Outside Of Clinical Scope, Or Lack Of Value From Session Services.

By Checking The Consent Box During The Online Registration/Booking You (Or Legal Guardian Of The Dependent Child) Acknowledge That You Have Read, Understood, And Agree To The Following:
1. Services By Booking A Session With La Esperanza Mental Health, You Are Consenting To Engage In One Or More Of The Following Services:
- Individual Psychotherapy
- Couples/Marriage Counseling
- Child & Adolescent Counseling
- Family Therapy
- EMDR Sessions
- Hypnotherapy
- Psychiatric Consultations
- Online Counseling
2. Financial Responsibility
- You Agree To Pay All Session Fees Prior To Service.
- Cancellations Or Reschedules With Less Than 24 Hours Notice Are Billed To 100% Late Penalty "No Show" Rule.
- Late Arrivals Of >15 Mins Or "No Shows" Will Incur A Full Session Charge, Irrespective Of Circumstances E.g. Emergency.
- Unpaid Balances With A Frequency Will Lead To Refusal Of Future Appointments And Dismissal.
- Any Extra Services Required Between Sessions E.g. Documentation Will Be Billed At Set Rate.
3. Confidentiality limits (Therapist May Break Confidentiality Without Prior Warning If Warranted By Law Or For The Following Circumstances):
- Risk Of Harm To Oneself Or Others.
- Suspected Or Known Incident Of Child Abuse, Or Vulnerable Persons.
- When Legally Ordered By A Court Order, Subpoena Or Authority.
- When Client Agrees Or Signs A Release Of Information Formal Check.
4. Risk And Outcomes I Understand That While Therapy And Counseling Provide Potential Long-term Benefits, Of Improvements In Life, There Is No Assurance Of Guaranteed Results. The Process May Uncover Uncomfortable Feelings, E.g. Memories Or Discussions. I Undertake Any Risks Involved. I Can Inform Or Discontinue The Service At Any Point Following Formal Discharge Process.
5. Minor Clients (If The Client Is Below The Age Of 18, A Parent Or Legal Guardian Must Complete This Booking And Provide Consent On Their Behalf Online.)
By Making Payment Or Processing With Your Booking, You Confirm That:
- You Are At Least 18 Years Of Age Or Guardian Rep.
- You Are Voluntarily Seeking Treatment Services From La Esperanza Mental Health.
- You Agree To Pay The Fees For The Services Received At The Stated Rate.
- You Understand And Accept The Cancellation Policy.
